Desk Booking
Typically designed for a single person to work at, featuring a flat surface as a minimum and often storage, as well as seating. A mainstay of offices, many people also have a desk at home.
A system where employees reserve workspaces in advance, typically in flexible or hybrid office environments. This is often done to optimize space utilization, accommodate varying schedules and/or to encourage people to sit with and meet different people in the office.
A desk or workstation in an office assigned to a particular person or or group which the group or person do not need to book.
A permanently assigned desk or workstation in an office environment, providing users (or a single user typically for a single desk) with a consistent work area, personal storage, and stability. Often these are assigned to users who will be in the office every day.

A hybrid desk combines elements of dedicated and flexible desks, allowing users to reserve the desk or workstation for specific times while maintaining the option to work from various locations as needed.
A hot desk is a non-assigned desk or workstation in a shared workspace, available to book on a first-come, first-served basis, promoting flexibility, cost efficiency, and dynamic work environments. Many hot desks are further restricted to same-day booking only to ensure availability and reduce issues caused by no shows, particularly in offices which have downsized overall space.
A workplace arrangement where multiple employees use the same workstation or desks at different times, promoting flexibility, reducing costs, and optimizing office space utilization.

A desk or workspace not permanently allocated to any individual, allowing users to choose any available spot. This is similar to a hot desk. Groups of unassigned desks may be further restricted to certain user groups at certain times.

This is often further augmented with neighborhoods, where certain users are given either sole or priority access to certain spaces to be around their teams.
The specific features which can be found at a particular workstation or desk. Commonly, these will be features like a fixed monitor, a telephone, docking station, stand-up desk or similar.
Room Booking
A system where employees reserve rooms in advance or on the spot, with a view to maximizing space availability and appropriate usage. Room booking systems are often implemented to optimize space utilization and make sure spaces are available to provide productive in person work opportunities.

A small space - typically for one or two people - to have a call for a short period of time.

A small meeting room or space, typically for a maximum of 3 or 4 people. Meeting pods are often used as a way of maximizing available meeting spaces in environments where space is limited and data suggest most meetings typically have a small number of attendees.
A space for groups or teams to meet together which may not be conventional meeting rooms. These might be tables, booths or other areas in the office. These often have different rules for booking and may offer additional flexibility over and above typical legacy office set-ups.
A tablet which is attached either outside a meeting room, or on a table in the meeting room, which allows users to interact and see the current booking status of the room, allows booking on the spot as well as check-in/out of meetings. Often using colour coding and other graphics to display the status of the room and the amenities therein. Typically Andoird/iOS devices requiring power from mains or ethernet to avoid needing battery charging.
Visitors
The process of registering, pre-onboarding, checking-in and overseeing guests in a workplace or facility, enhancing security, streamlining check-ins, and improving the overall visitor experience.
Systems to control access to a building, often including badges issued to staff and visitors with pre-set conditions and access levels granted.

The process of scheduling and registering guests either on the spot or in advance, ensuring a smooth experience, enhancing security, and managing workplace access efficiently. A good experience is beneficial to employees and provides superior experiences for visitors.
A system of asking visitors to confirm certain details prior to arrival - such as health screenings (common during the Covid-19 pandemic), site onboarding, acceptance of terms and conditions and/or any other requirements for a building. This is often automated and includes items visitors are required to complete to allow check-in upon arrival.

The permissions and protocols that regulate guest entry into a workplace or facility, ensuring security, efficiency, and a seamless check-in experience. This can also often include badging or access control integrations.
An option for visitors to a building to check-in via a tablet experience. This can be linked to a QR code for identification, manual input of details, capturing pictures of visitors and asking visitors to complete site onboarding.
Hybrid Office
A software solution that manages administrative tasks, workspace allocation, booking, scheduling, and resource management, typically implemented to provide superior office space usage efficiency, higher productivity office spaces and ensure the right space is provisioned and delivering value.
Hybrid teams are made up of people working both remotely and in-office, leveraging digital tools to maintain productivity and communication across different locations. There is often an expectation on hybrid teams of a certain amount of time spent in the office.
People choose work locations based on suitability for the task at hand. Offices often provision diverse environments like quiet zones, collaboration areas, and meeting rooms of different sizes to meet a variety of different needs.
A smart office integrates technology and automation to enhance workplace experiences and efficiency, often using IoT devices, sensors, and AI for optimized space management, energy savings, and improved employee outputs.
An office space used and shared by multiple individuals or companies. This can be for small companies for whom being surrounded by like minded companies is beneficial, or for organisations who are consolidating space with other similar organisations to achieve cost efficiencies.

A structured plan that suggests who will be in the office when. Typically, these schedules balance remote and in-office work, allowing people to split their time based on company policies, team needs, and personal preferences.

Analytics
The data provided by all the bookings and interactions with the platform is pulled together in reports at the users requirement, and provides insights as to the performance of the office and any associated usage policies. Typically provided in either a data based report or a graphical dashboard.

The overall usage of a space, group of spaces or the office againgst the theoretical maximum based on the amount of time each space is available to be booked. Space utilization is an important indicator of whether an office is efficient and conifgured correctly. Utilization can differ from occupancy if a resource can accomodate more than one person. It can therefore be occupied, but not fully utilized if it is not full.
Setting certain information or reports to be emailed directly to a users inbox without them having to "run" a report.

Dashboards are groups of data reports of graphical reports which are consolidated together for easy access and viewing.
AI recommendations are automated suggestions for changes to space allocation or amount identified automatically by algorithms or AI, with the purpose of making the workplace more efficient whilst eliminating a lot of human required investigation.
