Useful details before you ask for a quote.

What counts as a resource?

A core resource is a bookable item managed in askAiB, such as a desk, room, parking space or custom resource. Core resource types use the same pricing logic.

How does per-resource pricing compare with per-user desk booking software?

askAiB charges for the bookable resources you manage, not each employee who can access the platform. For 300 employees sharing 75 desks, that is 75 desk resources, plus any other managed spaces or optional services. An alternative provider's costs depend on its own licensing model, minimums and terms. See the illustrative comparison.

Are users really unlimited?

Yes. The core platform is priced around the resources being managed rather than charging a separate licence for every employee who may need to book or use the workplace.

Why are Visitor Management and Workplace Intelligence separate?

They solve distinct problems beyond everyday resource booking. Keeping them as optional site-level modules lets organisations add them where they create value without forcing every customer into a more expensive platform edition.

Is standard analytics included?

Yes. Standard reporting and dashboards remain part of the core platform. Workplace Intelligence is the additional layer that identifies qualifying findings, forecasts and opportunities and exposes the evidence behind them.

Why is Exchange priced separately?

Exchange synchronisation requires one-off Microsoft tenant setup and testing, plus ongoing integration maintenance. Standard setup costs £500 once; the annual charge is £500 per tenant plus £24 per synchronised room. Technical support for the integration is included in that annual fee, with complex migrations or bespoke work quoted separately.

What support is included?

Every subscription includes email support during UK business hours for product questions, technical issues and defect investigation. Enhanced Support is available by quotation for organisations needing agreed service arrangements. Implementation and ongoing administration are separate services.

Do you offer volume pricing?

Yes. Larger estates can receive tailored resource pricing based on scale, deployment complexity and the wider services required.

How long is the standard contract?

Standard pricing is based on a 12-month agreement billed annually in advance. Different commercial terms can be discussed for larger or bespoke deployments.
